Getting started
How long does it take to set up an event in CrowdSnaps?
Under five minutes. Create an account, add the event name, date, and your host's email, and you immediately get three links: the guest upload page, the live slideshow, and the private host portal. Printable QR signage is generated from the same screen.
Do I need to install anything at the venue?
No. The slideshow is a web page — open it in any browser on a laptop, smart TV, or media player connected to the screen and press fullscreen. All you need is an internet connection.
Can I test it before a real event?
Yes, and we recommend it. The free plan gives you one active event with up to 10 uploads, which is enough to walk the full flow end to end: scan, upload, approve, display, and download.
Who is the 'host'?
The host is whoever moderates uploads on the day — often your client, their coordinator, or a member of the wedding party. They get a private magic link by email and never need an account. You can also just use the host link yourself.
Guests and uploads
What file types can guests upload?
JPEG, PNG, and HEIC photos, plus MP4 and MOV video. Photos can be up to 100 MB each and videos up to 500 MB each before compression.
Can guests upload more than one photo at a time?
Yes. Guests select as many photos as they want and the whole batch uploads with a progress indicator for each file. They can add more at any point during the event.
Can guests download the photos too?
Yes. Every slide on the slideshow can show a QR code that opens a download page for that specific photo. There's also a full guest gallery where anyone with the event link can browse and download approved media in original quality.
What are photo prompts?
Optional shot suggestions shown on the upload page — for example “the first dance”, “your table”, or “a selfie with the couple”. They give guests direction and reliably produce more uploads than a blank upload button.
Billing and plans
What counts as an 'active event'?
Any event that hasn't been deleted or passed its retention window. Once an event expires or you delete it, the slot frees up immediately for a new one.
Can I change plans later?
Yes, any time. Upgrades take effect immediately and downgrades apply at the end of the current billing period. Billing is handled by Stripe and you can manage or cancel your subscription yourself from the billing page.
Do you offer refunds?
If something goes wrong on our end during your event, email us and we'll make it right. Subscriptions are otherwise billed monthly and cancel at the end of the period — you keep access until then.
Is there a contract or minimum term?
No. Plans are month-to-month and you can cancel from the billing page in a couple of clicks.
Privacy and security
Who owns the photos?
You and your client do. We store and serve the media so the product works, and delete it at the end of the retention window. We never sell it, license it, or use it to train models.
Where is media stored?
In Amazon S3, encrypted at rest, in the region configured for the deployment. Media is served through time-limited signed URLs, so links can't be shared indefinitely or guessed.
Do you need guest consent?
You or your client are responsible for telling guests that photos they upload will be shown on a screen and shared with the host. Our printable signage includes wording for this, and you can add your own note to the upload page.
Can I delete an event early?
Yes. Deleting an event from your dashboard removes the database records and the underlying files immediately, ahead of the automatic retention deadline.
